If you select a tracked delivery option for your order and provide a mobile telephone number, this will be passed to the delivery company in order to provide SMS Text message updates on delivery status, or in the case of problems with your delivery, they may use it to contact you.
Information we hold on you, as a customer
When you place an order with us we will need to have certain personal information from you, in order to process your payment, to provide confirmation, progress updates or customer support, and to deliver your order. This information will be used only for the purposes of fulfilling the order, providing customer support to you afterwards, and our legal and regulatory responsibilities to keep records of the transaction. If we need to share personal data with third parties this will only be done as necessary to fulfil your order (e.g. passing your address to the company that will deliver your order) or as required under law. Note that if you place an order that was unsuccessful the details of the order will still be recorded.
Payment information
Online payments are processed for us by PayPal and Opayo and customers are free to choose which of these services are used for their order. Boxclever Press, PayPal and Opayo are all PCI-DSS compliant – this indicates a standard level of security defined by the Payment Card Industry Data Security Standard.
Boxclever Press does not store your Credit or Debit card number. The data is limited to a record of which service was used, the billing address, shipping address, payment amount, the transaction status, and transaction ID. This information, together with the rest of the order information is retained on a UK based server.
Delivery information
In order to deliver your order we use the services of Royal Mail or DPD Local, the “couriers”. We only use DPD Local if the customer has selected the option for Express delivery. In order to book your parcel onto the courier’s system we transfer address and contact information electronically to their servers.
To provide enhanced tracking and delivery estimation to the customer we pass email and mobile phone information, where provided, to the courier, which enables them to provide the customer with status updates, estimated day or hour of delivery, and proof of delivery.
During transportation and handling of the customer’s order the address information may be visible to the courier’s staff.
A record of the shipment will be held on the courier’s system, in addition, for tracked services, details of the tracking, and proof of delivery, possibly including a name and signature, may be held for a limited time.
International deliveries
For International orders Royal Mail will transfer customer’s parcels to their international partners for local delivery. In some cases, especially when an International Tracked service is used, this may involve the electronic transfer of address data.
Where we are exporting goods outside of the European Union we are required to provide a CN22 customs declaration (or a CN23 if the order is over £270) which contains personal information and details of the order, and may be inspected by local customs officials. Currently the declaration consists of a visible CN22 label which indicates the general goods and value, attached to the parcel. In addition there is also a customs invoice attached, and sealed, which provides the customer’s name and address and further details of the order.
From 2018 onwards we plan to work with Royal Mail to use an electronic system for customs information. This should allow for parcels to be “pre-cleared” and reduce delays on arrival in the destination country. The customer name, address, and order details will be shared, electronically, with the local customs officials and possibly the local delivery agents.
When you send us an email the contents, your email address, and any personal information you provide will be stored on email servers. A third party provides our email server and we also use an email management system. In order to use the system data is transferred outside the European Union, to the USA. We ensure that all US based data processors that we work with comply with the EU-US Privacy Shield Programme.
